Job Description
We are currently looking to fill a contract-to-hire Human Resources & Accounting Administrator position with a Tulsa company.
The Human Resources (HR) & Accounting Administrator aids with and facilitates both human resources and accounting processes. Will perform routine bookkeeping tasks to support accounts payable for the overall process of incoming purchase orders and receivers from purchasing and verifies the accuracy of data. This role will be accountable for validating the payroll (via the
Professional Employer Organization (PEO). The person will act as a liaison between employees and the PEO to make sure the administration tasks of payroll, benefits, and HR strategic services are provided efficiently
Hours: 6am-4:30pm
Pay: $60,000-$70,000
Job Duties and Responsibilities:
HR Position Responsibilities & Accountabilities
- This role provides administrative support to the Human Resources Lead, including sourcing & recruiting of full-time and temporary employees.
- Coordinate pre-employment requirements, including background checks with passport screening, reference, and credential verifications.
- Coordinate pre-employment Drug and Alcohol tests.
- Lead the onboarding process for new hires.
- Support with employee relations, travel, and Visa requests, expense reports management, client audits, record-keeping, and personnel file maintenance.
- This role is a focal point for employees’ queries, becoming the liaison between the PEO and the employees.
- The role is accountable for reviewing the payroll for salary and hourly employees before submitting for payment. This involves checking the time & absences of all employees and reviewing the PEO’s Invoice.
- The person holding this role needs to become an expert in all the PEO’s HR Cloud features and modules to be able to guide employees and troubleshoot issues.
- Prepare and monitor employment contracts, including renewals terminations, and verification letters.
- Keep close track of all headcounts of full-time, temporary employees, and contractors if applicable.
- Administer and resolve employee HR-related issues.
- Support with creating and maintenance of policies and procedures.
Finance Position Responsibilities & Accountabilities
- Perform accounting balance analysis, including accounting data entry, payable processing, post- account receivable, and maintain appropriate supporting records.
- Analyze, reconcile, balance, and maintain accounting records.
- Monitor production reports, invoice customers based on production, and maintain job files.
- Assist in identifying, investigating, and resolving receivables issues. Handles the resolution of account discrepancies and procedural inquiries.
- Process contractor payments and assist with vendor payments.
- Prepare and enter financial details in the general ledger.
- May assist in audits and prepare audit work papers.
- Review of the payroll register and the invoice for all payroll cycles. The person will be in coordination with the Finance Manager to make sure payroll is funded before submitting them for payment.
- Ensure strict confidentiality of payroll and financial records.
Job Requirements
Requirements:
- Bachelor’s degree in accounting and/or in Human Resources with relevant experience in payroll processing.
- Minimum of 2 years related to HR experience.
- Must have current knowledge of legal regulations and best
practices for HR and Finance - The position requires an individual to have strong interpersonal skills to work as a team with others, and to be a strong communicator able to take initiative and function independently.
- Ability to work with spreadsheets, databases, and Cloud software.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
