Front Office Coordinator
Job Description
Our client is seeking a warm, professional, and highly dependable Front Office Coordinator to serve as the first point of contact for their company. This person will play an important role in creating a positive first impression while helping keep the day-to-day office organized and running smoothly.
Schedule & Pay
• Monday–Friday, 8:00 AM–4:00 PM Lunch: 11:30 AM–12:00 PM daily
• Pay: $25/hour
Key Responsibilities
• Serve as the welcoming and professional first point of contact for the company
• Answer incoming phone calls promptly and assist callers in a friendly, confident manner
• Greet and assist customers, vendors, employees, and visitors
• Handle accounts receivable, billing, invoicing, and collections
• Work closely with project managers to ensure billing and account information is accurate and up to date
• Use QuickBooks, Excel, and other office software for billing, recordkeeping, and administrative tasks
• Answer general questions and take initiative to find the right information when needed
• Assist with general administrative and front-office responsibilities
• Maintain organized records, paperwork, and documentation
• Communicate clearly and professionally with both internal employees and external contacts
• Follow through on responsibilities and ensure tasks are completed accurately and on time
• Help maintain an organized, efficient, and welcoming front office
Job Requirements
Qualifications
• Previous front office, administrative, or similar experience
• Accounts receivable, billing, invoicing, and/or collections experience strongly preferred
• Experience with QuickBooks and Excel preferred
• Warm, personable, and approachable with a professional demeanor
• Strong verbal and written communication skills
• Comfortable and confident answering phones and speaking with a variety of people
• Dependable with excellent punctuality and attendance
• Intelligent, resourceful, and able to learn new processes quickly
• Strong attention to detail and organizational skills
• Self-motivated with the drive to stay productive and take ownership of responsibilities
• Able to work effectively with different personalities and communication styles
• Comfortable working in a direct, blue-collar shop environment
• Willing to ask questions, seek out answers, and solve problems
• Takes pride in producing accurate, high-quality work and following through on commitments
